Viqal main system on/off switch

The switch in your top bar controls what Viqal is doing for your property. You can pause everything at once, or stop one part while the rest keeps running. This article explains each switch, what guests experience in every state, and the things that do not come back when you switch on again.

Open it by clicking the status pill in the top right of the dashboard.

The three switches

System is the master switch. Turning it off stops everything: no templates send, no bookings sync, nothing escalates to your Inbox.

AI Concierge answers guest questions. Turn it off and questions still arrive, but they land in your Inbox for staff instead of being answered automatically. The row label changes to "Replies go to the Inbox for staff" so it is clear at a glance.

Processing new reservations picks up new bookings from your PMS. Turn it off and no new guests enter Viqal, but guests already in the system carry on as normal.

The System switch sits above the other two. When it is off, both are disabled and cannot be changed until you turn the system back on.

The states you will see

The pill in your top bar tells you what is running:

Everything running (green). All three switches on. Guests get answers, templates send, new bookings sync.

Not syncing new bookings (amber). System and AI Concierge on, reservation processing off. Guests already in the system still get answers. No new bookings are picked up.

Staff answering (amber). System and reservation processing on, AI Concierge off. Templates and new bookings still run. Every guest reply lands in the team Inbox for a person to handle.

System off (red). Nothing sends, syncs or escalates, including for guests in the middle of a conversation.

The panel also shows who made the last change and when, so your team can see at a glance that someone paused something.

What happens when you switch each one off

Viqal asks you to confirm before any of these, and the confirmation spells out the consequence. The important parts:

Stop processing new bookings

New bookings from your PMS are no longer picked up. Guests already in the system keep getting templates and AI replies as normal.

Bookings made while this is off are not backfilled when you turn it back on. Anyone who booked during the pause never enters Viqal, so they get no welcome message and no journey. If you use this, keep the window short.

Turn off the AI Concierge

Every guest message lands in the Inbox for staff, including guests who are mid-conversation. Templates keep sending, so expect replies to them that a person now has to handle.

Buttons that hand the guest back to the assistant stop working. If a guest taps one, nothing answers until staff picks it up. Worth knowing if your templates rely on tappable buttons.

Turn the system off

Nothing sends, syncs or escalates. Guests mid-conversation get no reply at all.

Scheduled templates that fall due while off are skipped, not queued. A welcome message or a feedback request due during the pause does not go out late, it simply does not go out.

Which switch to use

  • Front desk wants to handle guests personally for an evening, but you still want templates and syncing to run: turn off the AI Concierge.

  • Your PMS is being migrated or is producing bad data: turn off Processing new reservations.

  • Something is wrong and you want Viqal to stop touching guests entirely: turn off the System.

Reach for the System switch last. It is the only one that leaves a guest mid-conversation with no reply.
