You can invite colleagues to your Viqal account so they can help handle guest conversations, set things up, or manage the workspace. Each person gets their own login, and you decide how much access they have. This article shows you how to invite someone and what each role can do.

Invite a team member

  1. In the left menu, open Settings, then Team.

  2. You will see the list of people who already have access. Click Invite user in the top right.

  3. Fill in the invite:

    • Email — the person's email address. This is where their invitation is sent.

    • Phone (optional) — add a mobile number if you want.

    • Role — choose how much access they get (explained below).

    • Property — choose which property they can access.

  4. Click Send invite.

The person receives an email inviting them to join. Once they accept and set up their login, they appear as an active member of your team.

Choosing a role

There are three roles, from least to most access. Pick the one that matches what the person needs to do.

  • Operator — Inbox only. They can read and reply to guest conversations and handle tasks. Best for front desk and reception staff who help guests but do not need to change settings.

  • Manager — All setup and inbox, but no billing. They can configure everything and handle guest conversations, but cannot see or change billing. Best for a hotel or operations manager running the day to day.

  • Admin — Manage users, setup, and inbox. Full access, including inviting and managing other team members. Best for owners and account administrators.

If you are not sure, start with a lower level of access. You can always change someone's role later.

Assigning a property

The Property setting controls which property the person can access. If you manage more than one property, choose the one this member should work in. This keeps each person focused on the property that is relevant to them.
